Visa Application Guide for the Conference in Windhoek, Namibia – September 2025

The information provided on this website is intended as a general guideline to assist delegates, speakers, exhibitors, and suppliers in understanding the visa application process for Namibia. It is not an official source of immigration or visa regulations.

The Conference Committee and organisers do not take responsibility for any visa application errors, delays, or rejections. It is the sole responsibility of each attendee to ensure they apply for the correct visa by consulting the appropriate Namibian diplomatic mission or relevant government authorities.

We strongly recommend verifying all visa requirements directly with the official immigration offices or the nearest Namibian Embassy or Consulate to avoid any travel disruptions.

  • Check Namibia’s visa-exempt country list to see if you qualify for visa-free entry.
  • If your nationality requires a visa, proceed with the application process.
  • Visitors from visa-exempt countries must still comply with entry requirements (valid passport, return ticket, proof of accommodation).
  • Please note if you are a speaker or exhibitor at the conference you are required to apply for a work visa.
  • Short-term Employment Permit (“Work Visa”): For speakers and exhibitors attending the conference. If you are a speaker or an exhibitor at the conference you need to apply for a work visa even if you are from a visa-exempt country.
  • Visitor’s Visa: For those attending as observers, delegate or general attendees, and who are not from a visa-exempt country. Please note that, if you are attending as observers, delegate or general attendees AND you are from visa-exempt country, you DO NOT require a visa.
  • Completed visa application form.
  • Valid passport (minimum six months validity beyond the intended stay).
  • Passport-sized recent photograph.
  • Letter of Invitation from the conference organizers.
  • Travel itinerary (flight and accommodation details).
  • Proof of financial means (bank statements or sponsor’s letter).
  • Visa fee payment receipt (N$1600.00).
  • Vaccination records (Yellow Fever card may be required).
  • Online via Namibia’s e-services portal.
  • At the nearest Namibian Embassy or Consulate.
  • Ensure applications are submitted at least 6–8 weeks before travel.
  • Processing times vary but generally take 10–15 working days.
  • You may be required to attend an interview at the embassy or consulate.
  • Approved visas will be stamped in the passport or issued electronically.
  • Carry printed visa approval confirmation.
  • Present all required documents at immigration upon arrival.
  • Visa-on-arrival applicants must register in advance and have a pre-arranged invitation letter.
